Refund Policy

Due to the bespoke, labor-intensive nature of custom software engineering and systems architecture, Vantage Technology Inc. ("Vantage Technology") enforces a strict policy regarding refunds and project cancellations.

1. Custom Engineering Services

Our engagements—including discovery phases, platform architecture, custom CRM development, and API integration—require significant upfront allocation of engineering resources, architectural planning, and time. Therefore, payments made for custom engineering services are generally non-refundable.

The specific payment schedule, milestones, and deliverables are explicitly outlined in the mutually agreed upon Statement of Work (SOW) or Master Services Agreement (MSA) prior to the commencement of any work.

2. Discovery and Strategy Phases

Many of our engagements begin with a paid Discovery or Architecture phase. The deliverable for this phase is typically a comprehensive technical specification, architecture diagram, or strategic roadmap. Once this deliverable is presented to the client, the fee for the Discovery phase is non-refundable, regardless of whether the client chooses to proceed with the subsequent development phases.

3. Project Cancellation

If a client wishes to terminate an ongoing engagement prior to completion, the cancellation terms defined in the MSA or SOW will govern. Generally:

4. Dispute Resolution and Deliverable Acceptance

We build our software iteratively, utilizing Agile methodologies. Clients are expected to participate in regular sprint reviews and User Acceptance Testing (UAT). If a deliverable does not meet the specifications outlined in the SOW, the client must notify Vantage Technology in writing within the agreed-upon review period (typically 5 to 10 business days).

Upon receiving such notice, Vantage Technology will remediate the defects at no additional cost to bring the deliverable into compliance with the SOW. A request for a refund based on dissatisfaction will not be granted if the delivered work substantially conforms to the documented specifications or if the client fails to report defects during the UAT period.

5. Service Level Agreements (SLAs) and Retainers

For ongoing maintenance, hosting, or support retainers, fees are billed periodically (e.g., monthly or quarterly) in advance. These fees secure team availability and infrastructure resources. Consequently, retainer fees are non-refundable for the current billing period. Clients may cancel future retainer renewals by providing written notice as stipulated in their specific agreement (typically 30 days prior to the next billing cycle).

6. Exceptions

Vantage Technology reserves the right, at its sole discretion, to issue a refund or credit under exceptional circumstances. Any such refund or credit granted does not constitute an obligation to grant similar refunds or credits in the future.
